Responsibilities

The HR Operations Specialist ensures the efficient handling of HR-related administrative processes, supporting both compliance and operational effectiveness. This position enhances the organization's ability to provide seamless human resources support, contributing to overall organizational efficiency and employee satisfaction.

  • Ensure timely and accurate employment related documentation and compliance to promote good brand and employee satisfaction [E.g. provide verification letters within 3 days of request. Respond to unemployment claims and coordinate witnesses and documentation for hearings. Submit all 15 day suspension PCNs]
  • Provide responsive and effective front line HR support to ensure a positive employee experience and operational efficiency. [E.g. Answering HR mainline calls, responding to emails, and printing employee IDs]
  • Process HR transactions and employee rewards for payment and ensure accurate expense coding and timely submission to ensure financial management of HR business transactions. [E.g. Process invoices within14 business days of receipt. Submit all employee reimbursements with proper documentation, Reconcile credit cards monthly]
  • Monitor and manage HR supplies to equip employees with the tools needed and a comfortable working environment [Manage and order office and kitchen supplies, maintaining appropriate inventory levels.]
  • Establish and maintain an effective internal audit process to ensure operational and regulatory compliance and update compliance records accordingly. Escalate any findings to HR leadership for appropriate follow-up or action.
  • Effectively plan, execute and monitor discretionary projects to improve efficiency and support long-term strategic goals while staying within time constraints.
  • Ensure timely and accurately handling of arrest notifications to support compliance and appropriate HR action. [Monitor daily, ensure all relevant information/documents are stored electronically, notify the appropriate HRBP and AVP within 24 hours of receiving a notification.]
  • Update HR Dashboard on a monthly basis with key performance metrics including employment verifications, referral bonuses, unemployment claims to provide timely insights into workforce activity and compliance.

Qualifications

  • Bachelor's degree required, minimum of 2 years experience in an administrative support role
  • Strong attention to detail and time management skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Strong written and verbal communication skills

Education Required

Bachelor’s Degree from a U.S. accredited educational institution or Credential Evaluation for a non-U.S. educational institution
