The Mail Clerk is responsible for the efficient, timely, and accurate execution of daily mailroom operations. This role ensures proper handling of all incoming and outgoing mail and packages, including sorting, tracking, distribution, and delivery across the organization. The Mail Clerk supports business operations by maintaining reliable mail flow, operating mailroom equipment, and assisting Facilities and Administrative teams when needed.

Responsibilities

The Mail Clerk is responsible for the efficient, timely, and accurate execution of daily mailroom operations. This role ensures proper handling of all incoming and outgoing mail and packages, including sorting, tracking, distribution, and delivery across the organization. The Mail Clerk supports business operations by maintaining reliable mail flow, operating mailroom equipment, and assisting Facilities and Administrative teams when needed.

Core Responsibilities:

  • Receive, sort, and distribute 100% of all incoming mail, packages, and interoffice correspondence to appropriate departments and personnel in a timely manner as per the established timeframes.
  • Collect, prepare, and process 100% of outgoing mail, ensuring accurate postage, labeling, and timely delivery to postal or courier services as per the established timeframes.
  • Operate and maintain mailroom equipment as per established maintenance schedule and as needed, including postage meters, scanners, and related devices.
  • Deliver 100% of interoffice mail and packages throughout the organization according to established delivery schedules.
  • Serve as a liaison for mail services with staff, providing professional and courteous support to internal departments, trouble shooting issues and proactively identifying barriers of mail services.
  • Handle confidential and sensitive documents with discretion, following organizational security and privacy protocols.
  • Support Facilities and Administrative teams by assisting with office tasks, meeting setups, and company event preparations.
  • Track and log 100% of incoming and outgoing mail and packages, maintaining accurate daily records.

Qualifications

  • High school diploma or equivalent required
  • Prior mailroom and office experience preferred
  • Travel to various NY Foundling properties and other locations as needed. Valid driver's license with 6 points or less from NY, NJ, CT, and PA required.
  • Good communication, problem solving and organizational skills
  • Basic computer skills required, including record keeping and date entry.
  • Ability to lift and carry packages up to 50lbs
  • Reliable time-management and organizational skills.
  • Ability to operate office and mailroom equipment (postage meters, copiers, scanners, etc.).
