Overview

The Senior Medical Secretary position serve as the initial point of contact for patients and visitors in a healthcare setting. This role is crucial for ensuring the smooth operation of all clinical services (medical, mental health, nutrition, etc) by handling multiple administrative processes.

The Senior Medical Secretary position serve as the initial point of contact for patients and visitors in a healthcare setting. This role is crucial for ensuring the smooth operation of all clinical services (medical, mental health, nutrition, etc) by handling multiple administrative processes.

Responsibilities: 

  • Provide excellent patient service during each and every contact. Greet patients and visitors, manage the check-in/check-out process as per our protocol, and ensure accurate and complete registration of patient information.
  • In a timely and efficient manner schedule, confirm, and manage patient appointments using the clinic's scheduling system, and coordinate with healthcare providers to optimize their schedules. Support the scheduling of video visits with other NYF providers when there is no on-site team.
  • Assist in coordinating with community and specialty providers, including referrals, appointments, prior authorizations, and ensuring necessary information is sent to and received back from providers. Coordinates with Nursing and MH leadership to maintain tracking documents and compliance for 29i required screenings and services.
  • Verify patient insurance information, explain billing procedures, collect co-pays, and assist with any billing inquiries or issues.
  • Answer and manage phone calls, emails, and other forms of communication, providing information, directing inquiries to the appropriate staff, and handling general questions or concerns in a timely manner as per our guidelines. 
  • Maintain and update patient records, ensuring confidentiality and compliance with healthcare regulations like HIPAA.
  • Provide excellent customer service by addressing patient needs, resolving issues, and ensuring a positive experience from the moment patients enter the office until they leave.
  • Assist with various clerical tasks such as faxing, scanning, and data entry, and support medical/mental health staff with their administrative needs.

Qualifications

  • High School Diploma or GED; Associates Degree or Certificate in Medical Administration preferred
  • 1+ years of experience in a similar role, such as a receptionist, administrative assistant, or medical office assistant.
  • Ability to interact warmly and professionally with patients, families, and staff. Strong interpersonal skills to ensure a positive patient experience.
  • Clear verbal and written communication skills are necessary to interact effectively with patients, healthcare providers, and insurance companies.
  • Ability to multitask, prioritize tasks, and manage time effectively in a fast-paced environment.
  • Precision in handling patient information, appointment scheduling, and billing to avoid errors that could impact patient care or billing accuracy.
  • Ability to address and resolve patient concerns, manage unexpected situations, and coordinate effectively with other departments.
  • Familiarity with electronic medical records (EMR) systems, appointment scheduling software, and basic office equipment. Competence in using Microsoft Office Suite (Word, Excel, Outlook).
