Overview

Effective scheduling will ensure that sufficient coverage is available within respecting regions to promptly and efficiently respond to any request or inquiry, regardless of time (based on scheduler on call), and prepare for OT seasonal volume increase (Holidays, Summer Vacation planning, Winter and Spring Breaks, etc.

 

It typically involves:

  • forecasting increase in volume request
  • determining staffing requirements after communication with managers and reviewing the system for patterns
  • Create schedules and keep metrics that maximize per diem and program productivity while meeting delivery objectives (placing per diem where needed) programmatically and regionally.

SSA will respond with forty minutes of outreach and intelligently route per diems with cover requests within the 4-hour call-out window. Communication will only be with the managers, assistant managers, and the assistant vice president if necessary.

 

The SSA will ensure per diem participation in incidents or allegations. The SSA and location manager will mediate any locations with repeated unsuitable notations. Support the practices by answering telephone inquiries and providing clear and informative triaging per diem concerns with Human Resource Business Partners.

Responsibilities

• Scheduling Functions:
o Understands schedule for assigned areas. Projects staffing needs based on establishing staffing patterns and policies.
o Collects all schedules prior to submission to Payroll in coordination with Residence Manager.
o Takes telephone messages, reports and documents requests and alerts appropriate management to problems or questions regarding scheduling.
o Match, assign and schedule Per Diem/ Temp Worker/ FT Floater based on skill level, availability and Program requirements.
o Be on call, weekend and holiday for program coverage.
o Work closely with Residence Managers to resolve staffing discrepancies.
o Assist on filling vacancies by temporarily transferring Per Diems, and FT Floaters.
• Data Management:
o Initiates requisitions process including new hires, shift changes, transfers, terminations, etc.
o Assures timely notification of staff compliance.
o Maintains accurate and current information regarding Per Diem/ Floater staff.
o Ensure compliance with all regulatory, as well as, internal policies and procedures
o Conduct Payroll for designed Per Diem Staff
o Conducts timely performance evaluations (using core competency tools) and monitors training as needed.
o Create and track key staffing metric report; Staffing utilization region, staffing vacancies, LOA
• Talent Acquisition:
o Attend every open houses in designed locations
o Paired alongside the designed Talent Acquisition Specialist for the region
o Ongoing interview of qualified candidates
o Manage the process of selection and placement of qualified candidates
o Leads meetings including: supervisory, promotion/ transfer, and staff meetings.
• Training and In-Services of Per Diems

•Particpation in Internal and External Investigations and ensuring Per Diems also do-to preclude obstruction.
• Performs related duties, as required.

Qualifications

  • Remain composed, professional with a positive attitude under pressure and excel in time management

  • Superior customer service and strong communication skills (written and verbal)
  • Highly detail oriented
  • Proficiency with computers (Microsoft Word / Excel), and ability to learn and operate scheduling and training software system.
  • Ability to prioritize and handle multiple tasks
  • Demonstrated strong commitment to safety.
  • High School Diploma or equivalent, required. Associates Degree, preferred.
  • Minimum of two (2) years computer-related, supervisory experience, data entry experience, required.
  • Speaking and writing proficiencies
